Job Applicant Privacy Notice

In the framework set out by the General Data Protection Regulation 2016/679 (GDPR) and the Cyprus Data Protection Law 125(I)2018, Koushos Korfiotis Papacharalambous LLC (“we”, the “Company”, “KKP”) is the data controller. This means that we are responsible for deciding how we hold and use personal information about you.

We invite you to read this Notice through which we intend to inform you as a job applicant about how KKP will process your personal data in the course of assessing your job application.

 

INFORMATION WE COLLECT, PURPOSE AND LEGAL BASIS

We receive these data directly from you through your CV, cover letter or interviews and, in rare cases, from an intermediary company related to human resources services to which you have disclosed your data. The following categories of your personal data will be processed by us for the sole purpose of assessing your job application, to the extent at which the law permits us to and on the basis of our legitimate interests.

Contact information, such as address, telephone number, email.

Employment and Education data, such as education history, employment history and references and any other data collected through CVs and interviews.

Personal life data, such as ambitions, hobbies and interests.

Special categories of data, such as any health-related data for the purpose of examining your capacity to work for a specific position.

Criminal convictions / offences, where your job position obligations entail high risks to the company (for example, handling or managing company’s assets) or where there is a legal or regulatory requirement to process such data.

In cases where we identify that there is a legal requirement or business need to process your data for purposes others than those set out above or described in this notice, you will be duly and properly informed. Also, please note that, where a job offer is made and accepted by you, the KKP Employee Privacy Notice will apply.

 

DATA RETENTION

If your job application is not successful, we may retain your personal data for up to twelve (12) months from the date of notifying you about our decision, for the purpose of examining your application when evaluating future relevant employment opportunities. Your data may also be retained for a longer period if this is necessary for the purposes of compliance with relevant legislation or for the purposes of defence during legal / judicial proceedings.

Please note that, if you have sent us your CV for any future vacancies, we will ask for you specific consent in order to keep your CV up until a vacancy relevant to your situation is available. You can withdraw you consent for this purpose at any time in which case we will immediately delete your personal data.

 

YOUR RIGHTS

As data subjects, you have specific rights under GDPR. These rights are:

  • The right to be informed how your data are being processed and have access to your data.
  • The right to have your data corrected, completed, rectified, restricted, or deleted.
  • The right to have your data transmitted to another data controller (data portability).
  • The right to object to the processing.
  • The right to withdraw your consent at any time.
  • The right to lodge a complaint with the Office of the Commissioner for the Protection of Personal Data (commissioner@dataprotection.gov.cy)

Please note that these rights are not absolute, and they are applicable only under specific circumstances and therefore are subject to exceptions.

All requests for exercising your rights as describe above must be made in writing, either by sending an email to dpo@kkplaw.com, or by post. We will respond to your request within 30 days. However, we reserve the right to extend this period to two additional months when your request is excessive or requires a disproportionate effort from our side.

 

TRANSFER, DISCLOSURE AND SECURITY OF DATA

We will neither transfer any of your data to a third country or disclosure your data to another organisation or third party.

Nevertheless, if this becomes absolutely necessary for assessing your application, we will inform you without undue delay and ensure that all requirements under GDRP and the local legislation are met.

KPP does take the security of your personal data very seriously. We are constantly making effort to adopt and implement all the necessary and reasonable technical and organisational measures required under GDPR and global best practice standards to ensure confidentiality, integrity and availability regarding the protection of your personal data. In addition, your personal data will only be accessible to and processed by a limited number of authorised people who are involved in the assessment of your application.
